Why Cloud Telephony Systems are the Future of Office Communication

Today, wherever you go people are discussing Cloud and Cloud Apps. And now you can include cloud telephone systems to that list. But, what exactly does that mean, and for what reason do we think it might be your future.

Know about Cloud Telephone System

The nerd answer is that Cloud telephone system marry a couple of things – Cloud computing, Voice over IP (VoIP) and portable (Mobile) applications.
The business answer is that organizations, Small or large, would now be able to pay for their telephone services on a monthly basis (per user or per line) and not need to worry over managing the hardware and keeping it up to date. It also means that as organizations are trying to work out how to effortlessly support mobile or teleworking, they can do it much more effectively.

Short history of phone systems

PBX (Traditional telephone systems) were originally based on restrictive hardware. This was because a lot of functionality was in the hardware and the expectation was that these systems were bulletproof and always stayed running. These systems would remain in service for 8 or more years. And they were strong and reliable. We have had few examples of customers who had to power their systems down, due to building power changes, and nobody had a clue how to turn off the PBX – as they had been running for 15 years unattended. So that is the legacy of traditional telephone systems.

And then VOIP Came

Over the last 10 to 15 years the manufacturers moved to VoIP (Voice over Internet Protocol) systems.  VoIP was an approach to accept traditional telephone calls and run them over a data network. This meant that your telephones were now directly connected to your data network. And the software now runs on ‘off the self’ computer servers. So less restrictive hardware.
The upside of this is that the telecommunications system turns out to be a part of your ‘data centre’ and is managed like everything else on your data network. This is awesome if you have the staff, but not so much for smaller businesses. Another impact is that the servers and information network switches tend to be upgraded more frequently – say every 3 years – than the 8 or more years of traditional systems. This is because we are used to upgrading computers and switches to get the newer, speedier, more powerful versions. It can also require more care and feeding than the traditional, bulletproof hardware. So, the flexibility gained is traded off against higher expenses to manage and maintain these systems over time.

Cloud Computing Changes the Landscape

More recently we have seen Cloud Computing change the landscape for some applications. Often we are not thinking of these as cloud applications as they are so omnipresent. From Dropbox (for cloud data storage) to note taking applications like Evernote to Project Management applications to Customer Relationship Management (CRM) frameworks; almost any software application can be run on a server in a data centre or the Cloud. This is also true of telephone systems.

Flexibility Reigns

Here's the immense thing. With Cloud Telephone Systems, flexibility is expanded while the cost to deal with all the servers and applications goes down. Presently you can access that service from anyplace; office, home, cell phone, bistro. Anywhere.

There are Still a Few Things to Consider

The voice calling quality is still important and a key part of how people will measure your business. It may still be the front door of your business. Telephony communication is a real-time application and requires setting up to guarantee voice quality. While we can pardon relatively poor quality on a mobile phone, people expect higher quality on their business telephone. This is no different to a VoIP system on premises yet it is still a consideration if you are changing over from a traditional system. This can be managed if you utilize a provider that has had experience with VoIP systems.
The security of your data network, as now it also impacts your telephone system. Again, this can be managed by a provider who thinks about these things.

But Cloud offers some seriously great advantages

As mentioned before the ability to access communications based capabilities from almost anyplace has increased, without complicated hardware and integration to support. A softphone application on a cell phone provides you a chance to connect and talk as if you were on the same system – because you are.
If you are moving to a cloud telephony system you can begin the set up and arrangement before switching off your old system. So no gaps in service.
If you are moving a location you can have the new system set up and can even be using it at your present location to test it before migrating.
Cloud Telephony solution is here to stay.  It will continue to be adopted as customers see the value in a monthly paid service that offloads the cost of being a telephone company or data networking company so you can concentrate on your business.
